Three kinds of record#

RecordCreated when you…Called on screenCan it change?
Data versionChoose Save changes (calculating also saves first)"data version 3"No. A later save creates the next version
Saved calculationChoose Calculate results"Calculated Sep 24, 2026, 20:48"No
Signed reportChoose Sign off (optional)"Report 2", signed off by NAME on DATENo. It is locked
  • A data version is a complete copy of the study: rows with their original and current values, exclusions with their reasons, settings and acceptance limits, with who saved it.
  • A saved calculation belongs to one data version. It holds the estimates, limit outcomes, study notes, method statements and the report as produced then.
  • A signed report belongs to one saved calculation. It holds the locked report, sign-off date and time, any reviewer name, and the PDF. Each calculation can be signed off once, and a study's reports are numbered 1, 2, 3.

Calculating the same data version again returns the saved calculation, unless the calculation method has changed (below).

Seeing the history#

  • History on the Report stage lists the study's signed reports and calculations, newest first: for example Report 1 with Signed off by J. Rivera on Sep 29, 2026, 15:09, and Calculated Sep 30, 2026, 10:12. The latest calculation, or its report once signed, is marked (latest). Choose Open to view one.
  • Calculation on the Results stage lists every saved calculation by date. See Reading results.
  • Imported files, at the foot of the Set up stage, has each imported file as received. See Exports.
  • A report's B Data listing shows original and corrected values and exclusion reasons. C Audit trail (with Include technical details) gives the data version, criteria version and Method IDs.

A banner marks a record opened from History, and its PDF button gives that record's own file. Records in History can't be signed off. Choose Back to the current report to return.

The study always opens on its latest data version. Earlier versions are read-only.

Out-of-date statistics stay visible so you can compare them with the recalculated ones.

Amending a signed report#

A signed report can't be edited, and a calculation can be signed off only once. To amend a study:

  1. In the Data stage, correct the rows concerned or exclude them with a reason, or fix the setting on Set up.
  2. Choose Save changes. This creates a new data version.
  3. Choose Recalculate results.
  4. On Report, review the new report and choose Sign off.

The new report gets the next number, and the stage opens on it. Earlier reports stay under History. Changing only the reviewer name works the same way: it needs a new data version, a new calculation and a new report.

Signed reports stay locked#

Signed reports keep their original HTML, PDF and settings. New work is recorded in later versions.

Viewing an earlier calculation in the current report format#

A calculation opened from History looks as it did when it was calculated, so its design and wording may differ from today's. Choose Show in the current report format in the History banner to show the same saved values in today's design. Show as first produced returns to the original. Only layout and wording differ; the values are the same.

When a calculation method changes#

Each saved calculation carries the Method ID of the method that produced it, shown in the report's C Audit trail (with Include technical details). When a calculation method changes, its Method ID changes:

  • Existing calculations and reports keep their old Method ID and values.
  • Recalculating a data version creates a new calculation beside the old one. Both appear under Calculation and History.
  • You choose when to recalculate.

Current Method IDs are in Methods and sources.

Corrected calculations#

If an error is found in a calculation method, a corrected version of a saved calculation can be recorded. The original is kept. The corrected version is shown and exported, and a report signed off from it names the correction and its reason.
